Biotrace Lab

1. Definitions

"Lab" shall refer to Biotrace lab.
"Client" is any individual or organization submitting samples for testing.
"Sample" means any material that is submitted for analysis.
"Report" means the Analysis report issued by the Lab.
"Services" refers to analytical testing and related activities provided by the Lab.

2. Scope of Services

The Lab performs analytical testing of herbal products, nutraceuticals, food items, and related materials using validated or standardized methods, instrumentation, and protocols.

The Lab may also provide:

  • Method development & validation
  • Stability testing, UV, HPTLC
  • Microbiological test
  • Phytochemical profiling

All services are subject to availability, technical feasibility, and regulatory requirements.

3. Sample Submission Requirements

Clients must:

  • Provide accurate, complete sample information
  • Provide samples in leak-proof, contaminant-free containers
  • Declare any hazards or special handling requirements
  • Supply enough to cover all analyses requested plus allowance for repeats

The Lab may reject samples that are:

  • Inadequate in quantity
  • Hazardous without prior disclosure
  • Illegally taken or improperly labelled
  • Adulterated or physically degraded
  • Improper packaging or broken seal

4. Turnaround Time

Estimated turnaround times are indicative and cannot be guaranteed.

Delays may be caused by:

  • Instrument maintenance or breakdown
  • Need for repeat tests
  • Quality control problems
  • Unexpected technical complication

5. Fees & Payments

Charges include testing fees, sample preparation fees, taxes, and any additional costs. Unless otherwise agreed, payment terms are 15 days. The Lab may withhold release of results or reports until payment is received.

6. Methods of Testing & Limitations

Testing is performed using validated internal or standard methods. Results apply only to the submitted sample and should not be assumed to represent entire batches or products. The test results are of the condition of the samples upon their receipt.

The Lab does not guarantee compliance with any regulatory standards unless explicitly agreed.

7. Reporting

Results are provided in digital or printed test report. Test reports are for the exclusive use of the Client and may not be altered or misrepresented. Any reproduction should be complete and unmodified.

8. Confidentiality

The Lab treats all client and sample information as confidential. Data is disclosed only to Client-authorized representatives compelled by law (e.g., regulatory authorities, court orders). The subcontracted laboratories will export the results to the laboratory software provided upon approval of the Client.

9. Subcontracting

Some of the analyses may be subcontracted with accredited partner laboratories. Where subcontracting is required, the client shall be notified accordingly.

10. Sample Retention & Disposal

Retention periods vary by test type (e.g., 7–30 days after reporting unless otherwise required). Samples may be destroyed after retention unless the Client requests return (at their cost). Disposal of hazardous materials may entail additional disposal fees.

11. Liability & Warranty Disclaimer

The Lab provides results based on best practices, but makes no guarantee regarding product safety, regulatory compliance, or marketability. The Lab is not liable for consequential damages, loss of profits, or claims arising from test results or delays.

12. Customer's Responsibilities

Clients are responsible for:

  • Ensuring samples sent for testing are legal and comply with applicable regulations
  • Using results appropriately
  • Avoidance of abuse, misinterpretation, and falsification of results
  • Providing accurate and current information
